When FMCSA Records Disagree

Write down the apparent contradiction

Make the disagreement specific: “The registration status is active; the operating-authority record shows a status we need to resolve.” Include the USDOT number, legal entity, field labels and dates.

Registration status and authority for an operation are different facts. An apparent contradiction may disappear once those facts are separated. That still leaves the relevant authority check to complete.

Use FMCSA’s public registration search in Motus and the applicable official records. Check the authority type against the proposed work, including any relevant exemptions.

Separate an old copy from a current check

A screenshot establishes what somebody captured, with whatever date and context remain visible. Open the source yourself where possible. Preserve both the supplied copy and your own observation if the difference matters.

Also distinguish a retrieval time from an effective date. “Seen today” does not necessarily mean “changed today.” Different dates may explain a discrepancy, but do not assume a synchronization delay merely because it would be convenient.

If the official source is unavailable, record the failed check. An unavailable page cannot confirm the carrier’s preferred version.

Ask for the fact that would resolve it

An illustrative follow-up is: “Please identify the authority record for the company hauling this load and the effective date supporting the proposed operation.” That request is more useful than another general assurance that everything is active.

Seek clarification through the appropriate official source or established business contact. A replacement screenshot may add evidence, but only if it addresses the disputed field.

Apply your hold or escalation policy while a material question remains unresolved. Keep the reason precise enough that another person can continue the check without starting over.

Preserve how the disagreement ended

Suppose the second record turns out to concern a different authority type. Save that explanation and the record that supports the work you are booking. If it is a genuine adverse change, save the evidence and the resulting decision instead.
